Rules let you automatically forward incoming emails to another address when they match conditions you set — for example, forwarding every email from a specific client to a teammate. This is available to anyone on a paid Titan plan. Once you've set up a rule, matching emails are forwarded automatically, so you don't have to forward them one by one.
| alert-warning | Rule-based forwarding is only available on paid Titan plans. If you don't see the option, ask your account admin to upgrade your plan. |
Create a rule from an open email
Use this method when you want to create a rule based on an email you're already looking at.
Open the email you want to base a rule on.
Click the overflow menu (the ⋮ icon) in the top-right corner of the email.
Select Create a rule.
Titan pre-fills the Rule name, From, Sent to, and Subject fields based on the email you opened. Review these fields and adjust them if needed.
In the Do the Following, select Action as Forward to, enter the email address you want matching emails sent to, then click Create rule.
Create a rule from Settings
Use this method to create a rule from scratch, without starting from a specific email.
Click the Settings (gear) icon.
Click Preferences.
Click Rules.
Click Create a rule.
Under Conditions, choose what identifies the emails you want to forward — for example From email, Sent to email, CC'd to me, or Subject includes. You can combine more than one condition, such as From email and Has an attachment.
Under Actions, select Forward to and enter the email address the matching emails should be sent to.
Click Create rule. Titan sends a security code to your email address.
Enter the security code in the pop-up window, then click Verify to finish setting up the rule.
| alert-success | A single conditional forwarding rule can forward to up to 10 internal addresses (on your own email domain) and 1 external address (on a different domain). |
You can edit or delete a rule at any time from Settings > Preferences > Rules. If you want to forward all incoming email — not just messages that match specific rules — use Forwarding under Preferences instead. See Set up Outgoing Forwarding for steps.
What success looks like
Once your rule is saved and verified, you'll see it listed under Settings > Preferences > Rules. From now on, any incoming email that matches your conditions is forwarded automatically to the address you set — you don't need to do anything further.
Troubleshooting
Problem: The security code email never arrives.
Cause: The email may have landed in your spam or junk folder, or there's a short delay in delivery.
Fix: Check your spam folder.
Problem: Forwarded emails aren't arriving at the external address.
Cause: A single rule allows only one external address, and some mail providers filter forwarded mail as spam.
Fix: Confirm you've only added one external address in the rule. Then ask the recipient to check their spam folder and, if needed, mark the forwarded emails as "not spam."
